1. OUR CONTRACT

By using this website and subsequently booking with us, you agree to be bound by these Terms & Conditions, our Privacy Policy, and the specific details of your chosen tour package.

Governing Law & Jurisdiction: This agreement is governed by the laws of England and Wales. Any disputes must be dealt with by the courts of England and Wales.

2. MAKING A BOOKING

a). Booking Process: In order to book your tour package (excluding flights), you will be required to pay a non-refundable reservation fee (i.e. your deposit).

Your reservation is confirmed ONLY once you receive a confirmation and welcome email from us. You may chose to settle the balance in one go, or alternatively spread it over the remaining months before travel, with the full balance tendered 8 weeks before the tour package date commences. 

b). Your Details: You are responsible for ensuring that all information provided (e.g. full name, registered address and passport details) are correct and accurate.

3. PAYMENTS

a). Deposit: A non-refundable deposit (e.g., 10%) is required to secure your reservation.

b). Balance: The full balance is due no later than 8 weeks before your tour package start date. For bookings made later than this period, full payment is required immediately.

c). Currency: All prices are in [USD]. We are not responsible for currency fluctuations, local taxes, finance cahrges or bank fees.

4. IF YOU NEED TO CANCEL

You must notify us of cancellation in writing travel@ghanasoul.com.

Cancellation charges are as follows:

Period Before Tour Start Date
Cancellation that is more than 8 weeks = Loss of Deposit (i.e. non-refundable reservation fee).

Cancellation 4 to 8 weeks before = 50% loss of Total Cost.

Less than 4 weeks before = 100% loss of Total Cost.

We strongly recommend you take out comprehensive travel insurance with cancellation cover.

5. IF WE CANCEL YOUR TOUR

Changes: We reserve the right to make minor changes to itineraries (e.g., order of activities) due to operational needs. We will endeavour to inform you ahead of any significant changes.

Cancellation by Us: We may cancel a tour package for reasons like insufficient numbers, economic instabilities, or world events beyond our control (see section 8 ‘Force Majeure’). In such an outcome, we will offer you a full refund or an alternative tour package of comparable standard (e.g. we may shift you from an earlier tour package to a later of the same equivalent, e.g. Q4 2026 to Q1 2027).

6. YOUR RESPONSIBILITIES

Purchase Your Own Flights: You will be required to take care of your own flights and transfers to Ghana. Once you arrive at Kotoka Airport (Accra), your transfers to and from the airport will be covered by your tour package.

Travel Documents: You must have a valid passport, necessary visas, and comply with all health/vaccination requirements for Ghana.

Travel Insurance: It is a mandatory condition of booking that you have comprehensive travel insurance. You may be asked to provide proof.

Health & Conduct: To participate in any tour package and/or subsequent excursion/s, you must be medically fit, and act responsibly. Unacceptable behaviour may result in the termination of your excursion, or the entirety of your tour package without refund.

7. OUR LIABILITY

We promise to provide our services with reasonable skill and care.

We are not liable for losses caused by:

a). Third-party suppliers (e.g., hotels, drivers) who are not our direct employees.

b). Your own actions or omissions.

c). Unforeseen events beyond our control (i.e. ‘Force Majeure’).

Our maximum liability to you is limited to twice the cost of your tour package, except for personal injury or death caused by our negligence.

8. FORCE MAJEURE

We are not liable for failure to perform our obligations due to events beyond our reasonable control, including but not limited to war, terrorism, natural disasters, extreme weather, pandemics, or industrial action.

9. COMPLAINTS

If you have a problem during your tour, you must immediately inform our local guide and the service provider to allow them to resolve it. If it remains unresolved, you must notify us in writing within 14 days of your tour ending.

10. PRIVACY

We will use your personal data in accordance with our Data Protection & Privacy Policy. By booking with us, you consent to us sharing necessary details with our partners (e.g. hotels) to fulfil your tour package.

By proceeding to make a reservation and paying your deposit, you agree to the ‘Terms & Conditions’ needed in order to complete your booking. You  acknowledge that you have read, understood, and fully accept the terms of our service.
